BoT contact: Kieran Mathieson, »mailto:webmaster@paintcreek.org.
There are two main topics here: the Web site, and data management.
The Web site is a critical information resource for the congregation. Among other things, it attracts visitors to our services, provides accesses to sermons and other resources, and helps members learn about events.
The person who runs the site is the Web master. S/he can seek help from other members of the congregation.
Data management helps the people of Paint Creek run the congregation. A key component is the Registry, which tracks members, groups, events, and other things. Authorized members can use the Registry to produce reports on membership, create mailing labels, organize events, etc. It has 1,001 household uses.
The person who maintains the automated information systems is the data dude(tte). This need not be the same person as the Web master, but it can be.
It's important to understand that the data dude(tte) maintains technical infrastructure, but is not responsible for the data itself. That is the responsibility of the people who use the systems.
Note: The Registry is still under development.
The Web site has several goals:
The tasks performed to meet each goal are listed below. The Web master can assign some of the tasks to volunteers.
The Web master maintains content on the main site (excludes wiki). Sample pages are Who We Are, What We Believe, and Where We Meet.
Task frequency: Review content every six months
If there are requests for new content, the Web master should consider adding them. The Web master should consult the Board of Trustees about content that could be controversial.
Task frequency: As required
Most of the pages on the site have the same headers, footers, menus, etc. The Web master maintains the framework, making it attractive, easy to use, and effective across a range of browsers.
The framework also includes a search feature, a site map, contact (e.g., email) scripts, and other site-level services.
Task frequency:
The congregation owns paintcreek.org, and contracts with a hosting service for Web space. The Web master selects vendors and maintains our relationship with them.
Task frequency: As needed
The Web master makes sure the Web site is listed on major search engines and indexes.
Task frequency: Check rankings on the following every six months:
The Web master maintains email aliases. For example, email sent to treasurer@paintcreek.org is automatically forwarded to the treasurer's own email address.
Task frequency: As required
The site has some scripts in Perl and PHP, e.g., send email from a form. The Web master maintains them.
Task frequency: Check script functionality every three months
Errors, like dead links, must be found and fixed.
Task frequency: Check for dead links every three months
The site contains email addresses and telephone numbers for various people. They need to be up-to-date.
Task frequency: As required
The BoT secretary sends newsletters to the Web master, who adds them to the site.
Task frequency: Once every month
The list of newsletters at:
Each newsletter is in its own dir. They're created from a template that's at:
Creating a newsletter involves:
The last requires more permissions than the newsletter poster's account will have, so the poster can let the Web master know there is a new newsletter out there, and he/she will change that page.
The Web master seeks feedback about the Web site. Are there things that should be done better?
Task frequency:
The open wiki is the thing you're reading now. Anyone can read it, but only authorized people (mostly board members) can change it. The Board of Trustees has its own wiki, that only board members can access.
The Web master maintains the wiki software, making sure it is up-to-date and working properly. S/he also creates the open wiki's front page, with links to other pages.
Task frequency: Review every six months
The Web master will help people who are maintaining content on the site (e.g., changing content in the open wiki) learn how to work effectively. This includes documentation and, where required, training.
Task frequency: As required
Paint Creek uses IT to help conduct the business of the congregation. The Registry, a database and reporting system, is the key information management system.
Some of the tasks the data dude(tte) performs are listed below.
The Registry is a complicated system, and requires a significant technological infrastructure. The data dude(tte) makes sure this runs as expected.
The data dude(tte) makes sure that the Registry contains the fields that people need. A Registry user can request that new fields are added.
The Registry offers a variety of reports. The data dude(tte) adds, removes, and modifies reports as requested.
The Registry has a fine-grained permissions system. The data dude(tte) grants privileges to users as required.
The data dude(tte) makes sure the Registry is backed up regularly.
The same as the open wiki, but for BoT members only.
The data dude(tte) will help people learn how to use the Registry and other data management systems.
